IADR POSTER DISCUSSION SESSION CHAIR INSTRUCTIONS
 
Summary of Poster Discussion Format:
  • Up to nine (9) individual presentations in a meeting room.
  • Poster viewing on poster boards (.92m wide by 2.2m high) at start of session for 25 minutes.
  • PowerPoint Presentations (all equipment provided) in 3 slides or less (max 3 slides allowed for presentation in addition to the poster board materials).
  • Presentations last 5 minutes.
  • Discussion after each presentation lasts 2 minutes.
  • Two Session Chairs facilitate the session.
Presentations will be presented using PowerPoint only. Each room will be equipped with a computer, an LCD projector and a mouse at the lectern to advance the slide. There will be technicians floating between rooms to aid with any questions. Note: Poster Discussion Sessions will be held in their assigned meeting rooms (not the Exhibit Hall).

DUTIES:
Before the meeting:
  • Read each abstract in your session.
  • Prepare 2-3 questions for each presenter to help stimulate interesting discussion.
Before the session:
  • Attend the Orientation Session for Oral/Poster Discussion Session Chairs (Wednesday, July 14 or Friday, July 16 from 8:30 a.m. - 8:45 a.m).
  • Arrive for your session 15 minutes early to familiarize yourself with the room, the AV equipment and the technician.
  • Check the lectern for notices of any “no shows” or changes in presenters.
During the session:
  • Identify yourself and your co-chair to the audience.
  • Instruct the delegates to preview the poster boards and inform the audience the individual presentations will begin in 25 minutes after the viewing period.
  • Introduce each speaker by name only.
  • Verify each presenter is wearing a badge. If not, please inform any IADR staff member immediately.
  • Keep presenters on time. Each presenter has 5 minutes to present and 2 minutes for discussion. Give cues to the presenter. For example, at 4 minutes stand up to alert the presenter they have one minute, at 5 minutes move toward the lectern, at 6 minutes interrupt the presenter and open the discussion.
  • Lead and stimulate discussion by asking provocative questions.
  • If a presenter is a “no show” fill the time with discussion or a recess. Do NOT move presenters forward to fill the gap.
  • Keep track of the peak attendance of the session.
  • If time permits at the conclusion of the session, keep the discussion going.
  • Instruct poster presenters to remove their materials (ncluding velcro and tape) from the boards at the conclusion of the session.
Following the session:
  • Fill out the session evaluation form located in the folder on the lectern. For this form you will need to have the names of any “no shows” or unscheduled presenter changes and the peak attendance of the session.
